SubaPOS is a point-of-sale platform operated by Clever Tech Ltd ("we", "us", or "our"). This privacy policy explains how we collect, use, and protect information when you use the SubaPOS website, desktop application, cloud dashboard, and related services (collectively, the "Service").
2. Information we collect
We may collect the following types of information:
• Account and business information: name, email address, organisation name, branch details, and credentials used to sign in or activate a license.
• Transaction and operational data: sales, orders, inventory, customers, staff actions, and reports you enter or generate in SubaPOS.
• Device and technical data: operating system, app version, device identifiers, IP address, and diagnostic logs needed to operate and support the Service.
• Website and marketing data: contact form submissions, newsletter sign-ups, and usage analytics on subapos.com.
• Payment and billing data: handled by our payment processors where applicable; we do not store full card numbers on our servers.
3. Local and cloud data
SubaPOS is offline-first. Sales and business data are stored locally on your terminal. If you use a cloud plan, selected data is synchronised to our cloud infrastructure when your connection is available.
You remain the controller of your business data. We process it to provide sync, backup, reporting, and support features you enable.
4. How we use your information
We use the information we collect to:
• Provide, operate, maintain, and improve the Service.
• Activate licenses, authenticate users, and sync data across terminals.
• Respond to support requests, demos, and sales inquiries.
• Send service-related communications such as security notices or billing updates.
• Analyse aggregated usage to improve reliability and product design.
• Comply with legal obligations.
We do not sell your personal data or your customers' data to third parties.
5. Data storage and security
We use industry-standard safeguards including encryption in transit (TLS) and access controls on cloud systems. Local data on your terminal remains under your physical control. No method of transmission or storage is completely secure, and we encourage you to use strong passwords, device access controls, and regular backups.
6. Data retention
We retain account and cloud-synced data for as long as your subscription or account is active and as needed to provide the Service. Local terminal data remains on your device until you delete it or uninstall the application. When you close an account, we delete or anonymise personal data within a reasonable period, except where retention is required by law or for legitimate business records.
7. Your rights
Depending on your location, you may have the right to:
• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of personal data, subject to legal and contractual limits.
• Request a portable copy of certain data.
